Our client, a luxury hotel opening soon in St. Julian’s, Malta, is renowned for its commitment to exceptional service and high standards. As we prepare to welcome our first guests, we are focused on building a team of dedicated professionals who share our passion for delivering outstanding guest experiences. We are currently seeking a dynamic and detail-oriented Events Coordinator to join our team. 🏨 

Role Overview:

As an Events Coordinator, you will play a key role in curating and executing a wide range of events, from intimate gatherings to grand celebrations. You will work closely with clients, vendors, and internal teams to ensure every event is flawlessly organized, providing memorable experiences for all guests.

Key Responsibilities:

  • Plan, coordinate, and execute events including weddings, corporate functions, and private celebrations
  • Act as the main point of contact for clients, providing excellent service and personalized attention to their needs
  • Collaborate with internal departments (catering, operations, marketing) to ensure seamless event execution
  • Manage event logistics such as venue setup, decorations, timelines, and supplier coordination
  • Maintain clear and consistent communication with clients throughout the event planning process
  • Oversee on-site event management, ensuring that everything runs smoothly and addressing any issues as they arise
  • Assist in the preparation of event budgets, proposals, and post-event reports
  • Build and maintain relationships with key vendors, negotiating contracts and rates when necessary
  • Ensure compliance with health and safety regulations and hotel policies during all events

Requirements:

  • Previous experience in event planning, ideally within the luxury hospitality industry
  • Strong organizational and multitasking abilities, with the ability to manage multiple events at once
  • Excellent interpersonal and communication skills, with a strong customer service orientation
  • High attention to detail and problem-solving skills
  • Ability to work effectively in a fast-paced environment while maintaining a high level of professionalism
  • Proficiency in MS Office and event management software
  • Fluent in English; additional language skills are a plus
  • Flexibility to work evenings, weekends, and public holidays as required by event schedules
